This section presents the general terms and conditions of use and sale of the Grand Cercle application, as well as the privacy policy relating to its use.

General terms and conditions of use and sale

1. Purpose

These General Terms and Conditions of Use and Sale (hereinafter "GTC") are intended to define the terms and conditions of access and use of the Grand Cercle mobile application (hereinafter "the Application" or "the Service"), as well as the terms of sale of the Carte de Vie Associative (hereinafter "CVA") and any other service offered by Grand Cercle INP (hereinafter "Grand Cercle", "we", "us" or "our").

By downloading or using the Application, you unconditionally accept these Terms of Use, whether you are a casual visitor or an account holder. Please read them carefully before using the Service.

3. Definitions

  • Application / Service : the "Grand Cercle" mobile application and all its associated features.
  • User : any person using the Application, whether they have an account or not.
  • User Account : personal space created by a User on the Application to access certain features (purchase and use of CVA, management of affiliations, etc.).
  • CVA (Association Life Card) : card offered by the Grand Cercle, allowing access to certain benefits in the referenced associations and entities (student unions, partners).
  • Personal Data : information relating to an identified or identifiable natural person, collected via the Application (name, surname, email, profile picture, etc.).

4. Scope

These General Terms and Conditions of Use apply to all use of the Application and to all orders for products or services (including the CVA) provided by Grand Cercle through the Application. They are supplemented by the privacy policy below, which describes in detail how Grand Cercle processes Users' personal data.

5. Accessing and Using the Application

5.1. Conditions of access

  • The application is available free of charge on app download platforms compatible with your device (Google Play Store, Apple App Store, etc.). Any connection costs (internet, mobile data) remain your responsibility.
  • Some features are reserved for Users who have created a User Account (e.g., purchase of CVA, access to "back office" features, affiliation with a school or entity).

5.2. Creating a User Account

  • To create an Account, the User must provide an email address and choose a password, as well as their first and last name.
  • The information provided must be accurate, up-to-date, and truthful. Grand Cercle reserves the right to suspend or delete any account that fails to comply with this requirement.
  • The User Account is strictly personal and cannot be shared with third parties.

6. Main Features

6.1. CVA Management

  • The CVA is strictly personal and cannot be assigned or transferred to a third party, under penalty of cancellation of the CVA by Grand Cercle.
  • The CVA is offered for sale via the Application or other sales channels of the Grand Cercle.
  • When purchasing a CVA, the necessary data (name, surname, email, school, etc.) are collected for the management and verification of the validity of the card.

6.2. Affiliations and proof of membership

  • The Application allows Users to request affiliation with an entity (school, association, partner, etc.), providing supporting documents where applicable (student card, school certificate, etc.).
  • The Student Unions (BDE) and the Grand Cercle validate or reject affiliation requests by consulting the documents provided.
  • Roles and positions (e.g., President, Treasurer) within an entity are also recorded for internal management of the Application.

6.3. Offer and Event Management

  • The listed entities (associations, partners, etc.) can manage their offers, events and members via a dedicated space in the Application ("back office").
  • Users with a CVA can benefit from preferential rates or advantages, subject to validation of their affiliation by the relevant entities.

7. CVA Sales Conditions

7.1. Price and payment

  • The price of the CVA is indicated in euros (EUR), including all taxes, at the time of purchase.
  • Payment is made via available payment methods (credit card, online payment solution). Grand Cercle does not store payment details.
  • Grand Cercle reserves the right to modify the price of the CVA at any time, without retroactive effect for purchases already paid for.

7.2. CVA Delivery

  • The CVA is dematerialized within the Application.
  • After payment validation and verification of your status (if applicable), the CVA becomes accessible in your User Account.

7.3. Right of withdrawal

  • In accordance with Article L.221-28 of the Consumer Code, the right of withdrawal does not apply to services fully performed before the end of the withdrawal period.
  • However, if you believe you have a legitimate reason, you can contact our customer service at webmaster@grandcercle.org in order to review your request.

8. User Obligations and Responsibilities

  • The User agrees to comply with applicable laws and regulations and not to use the Application for unlawful, fraudulent or public order purposes.
  • The User agrees not to upload any illegal, violent, defamatory, pornographic, racially hateful, or infringing content.
  • The User is responsible for maintaining the confidentiality of their login credentials (email address, password) and for any use that may be made of them. In case of theft or loss, they must notify Grand Cercle immediately.
  • Any use of the CVA by a third party or any attempt to use the CVA for illegitimate purposes exposes the User to cancellation of the card, without refund, and to possible legal action.

9. Liability and Warranty

  • Grand Cercle implements reasonable measures to ensure continuous and high-quality access to the Application. However, the availability of the Service may be interrupted for technical reasons (maintenance, updates, etc.).
  • Grand Cercle cannot be held responsible for indirect, intangible damages, or damages resulting from misuse of the Application by the User.
  • Grand Cercle does not exercise any prior control over the content published by Users or entities (associations, partners). Therefore, Grand Cercle cannot be held responsible for content that does not originate directly from its services.

10. Intellectual Property

  • The Application, its content, name, and trademark belong to Grand Cercle or are used with permission. Any unauthorized reproduction, distribution, modification, or exploitation is prohibited.
  • Content uploaded by Users (profile pictures, documents, proof of affiliation, etc.) remains the property of its authors, but the User grants the Grand Cercle a non-exclusive license for use and display on the Application, to the extent necessary for the proper functioning of the Service.

11. Personal data

The processing of personal data carried out within the framework of the Application is described in detail in the application privacy policy below. We invite you to consult it to learn more about how Grand Cercle collects and processes your data, and about the rights you have (access, rectification, deletion, etc.).

12. Amendment to the General Terms and Conditions of Sale

Grand Cercle reserves the right to modify these Terms of Use at any time to adapt them to legal or technical developments concerning the Application. Modifications will be notified by any appropriate means (notification within the Application, email, publication on the website). Users who continue to use the Application after the publication of modifications are deemed to have accepted the new Terms of Use.

13. Account Termination and Deletion

  • The User may request the deletion of their User Account at any time by contacting Grand Cercle at the address webmaster@grandcercle.org — The email address used must be the same as the one used to create the account. It is also possible to make this request via the application.
  • Grand Cercle reserves the right to suspend or terminate a User Account automatically in the event of a serious or repeated breach of these Terms and Conditions (attempt to fraudulently use the CVA, publication of illegal content, etc.).
  • In the event of account deletion or termination, the User's personal data is processed in accordance with the privacy policy.

14. Applicable Law and Dispute Resolution

  • These General Terms and Conditions of Sale are governed by French law.
  • In the event of a dispute, the User is encouraged to contact the Grand Cercle customer service department first in order to find an amicable solution.
  • In the absence of an amicable agreement, any dispute will be brought before the competent courts of Grenoble, France.

Application Privacy Policy

1. Introduction

Grand Cercle INP ("we", "us", or "our"), an association under the law of July 1, 1901 (RNA: W381004624), operates the Grand Cercle mobile application (the "Service"). We are located at 730 rue de la Piscine, Maison de l'INP Grenoble, 38402 Saint-Martin-d'Hères Cedex, France.

This privacy policy informs you of our policies regarding the collection, use and disclosure of your personal data when you use our Service, as well as the rights you have under the General Data Protection Regulation (GDPR) and applicable French law.

By using the Grand Cercle Application, you agree to the collection and use of information in accordance with this policy.

3. Data collected

3.1. User identification and account data

  • Name, Surname : to create and manage your user account.
  • E-mail address : used as a login ID and to communicate with you (notifications, confirmations, updates, etc.).
  • Profile picture (if applicable): optional. If you choose to provide it, this photo will be public and accessible to other users or entities referenced in the application.

3.2. Data related to the Application's functionalities

  • Photos of events, association or partner banners, and association profiles: these images are public in order to make information about events and associations accessible.
  • Information regarding studies (proof of admission, school affiliation): When applying for school affiliation, you may be required to provide proof of enrollment (student card, certificate of enrollment, etc.). These documents may be reviewed by the relevant student associations (BDEs) or the main student body to validate your affiliation.
  • Affiliations and roles: your membership in entities (associations, campaign list, schools, partners) and the role you hold there (e.g. President, Treasurer, Member, etc.) are recorded for the proper functioning of the application (management of specific rights and access).

3.3. Data from the Association Life Card (CVA)

  • Name, Surname, School, Email used during purchase, CVA No: required to manage the order, the dematerialization and the verification of the validity of the CVA.
  • Associations listed in the application can consult the list of members with a CVA to verify the validity of this card when accessing their events or services.

3.4. Device information and usage data

  • Device information: model, operating system version, technical identifiers (device ID, advertising ID, Android ID, IMEI, BSSID, MAC address), and other diagnostic data.
  • Usage data: information about how you access and use the Service (pages or screens viewed, clicks, events, etc.).

3.5. Temporary collection of email addresses

We temporarily collect your email address, if different from the one linked to your main account, when you make certain specific requests (access to features, request for CVA dematerialization, etc.).

4. Purposes and legal basis of processing

We use your data to:

  • Providing and Maintaining the Service (manage your access, your account, your roles and affiliations) — legal basis: performance of a contract (Article 6(1)(b) GDPR).
  • Informing you of changes to the Service (notifications, announcements of new features, etc.) — legal basis: legitimate interest (Article 6(1)(f) GDPR) and/or performance of the contract.
  • Allowing you to participate in interactive features (events, forums, partnerships, etc.) — legal basis: performance of a contract (Article 6(1)(b) GDPR).
  • Providing support and customer service — legal basis: performance of a contract (Article 6(1)(b) GDPR) and legitimate interest (Article 6(1)(f) GDPR).
  • Analyze and improve the Service (statistics, usage analyses) — legal basis: legitimate interest (Article 6(1)(f) GDPR).
  • Manage CVA orders and other services — legal basis: performance of a contract (Article 6(1)(b) GDPR).
  • Check access rights and affiliation with a school or entity — legal basis: legitimate interest (Article 6(1)(f) GDPR) and performance of a contract (Article 6(1)(b) GDPR).

5. Sharing of personal data

We only share your personal data with third parties in the following cases: legal obligation, protection of the rights or property of Grand Cercle INP, prevention of offenses, protection of personal safety, or provision of Service functionalities:

  • Student associations of Grenoble INP – UGA or partner institutions : access to certain data when necessary to validate an affiliation or apply a rate linked to the CVA.
  • Student Unions (BDE) and the Grand Cercle : to validate your applications for affiliation to a school and to view your proof of admission.
  • All listed associations : can consult the list of members with a CVA to verify its validity.
  • Administrators of the Grand Cercle : can view and modify all data for the proper management of the Application.

Important : The data collected for CVA management, or during any event registration, is neither transferred nor sold to third parties for commercial purposes without your consent. However, it may be shared with third parties directly involved in providing the requested product or service.

6. Data retention period

  • User account (name, surname, email, profile picture): kept as long as you keep your account active.
  • Affiliations, roles and proof of admission: retained for the duration of your affiliation or as long as necessary to validate your status, then deleted or archived in accordance with our internal policies.
  • CVA data: retain their validity for the duration of the current CVA, then archived for administrative and legal purposes for the required period.
  • Logs and usage data: kept for a minimum period, strictly necessary for security purposes or to improve the Service (typically up to 12 months).
  • Validated deletion requests: the data concerned is deleted or anonymized, unless retention is required by law or contractual obligation.

7. Data Security

We protect your personal data through technical and organizational security measures (encryption, access control, etc.). Data is primarily stored via Firebase (Google Cloud) on servers located, among other places, in the "us-central1" zone. We implement measures compliant with GDPR requirements, particularly regarding data transfers outside the EU.

8. Data transfers outside the European Union

As Firebase (Google Cloud) servers are located partly outside the EU (e.g., "us-central1"), we take care to implement appropriate safeguards (standard contractual clauses of the European Commission, additional security measures, etc.) to ensure an adequate level of protection for your personal data.

9. Your data protection rights

In accordance with the GDPR and the French Data Protection Act, you have the following rights: access, rectification, erasure ("right to be forgotten"), restriction of processing, objection, and data portability.

Important : Any request to delete data necessary for the provision of a product or service (e.g., CVA) before it has been delivered may de facto result in the cancellation of the order or service concerned.

10. Data deletion request

10.1. Procedure send a request to webmaster@grandcercle.org by indicating your CVA number or the email address of your user account, as well as a clear statement of your deletion request.

10.2. Deleted Data : account data (name, surname, email, profile picture), CVA number and usage data, affiliation/role/supporting documents data (if no longer required), except where otherwise provided by law or contract.

10.3. Exceptions Data whose retention is required by law or necessary for the performance of our contractual obligations is kept only for as long as strictly necessary. Deleting data related to a pending order or service (such as the CVA) prevents that order from being fulfilled.

11. Changes to the privacy policy

This privacy policy is effective as of January 20, 2025. We reserve the right to update it at any time; we encourage you to review it periodically. Your continued use of the Service after any changes are posted constitutes acceptance of those changes.

This section concerns only the showcase website grandcercle.org (consultation, contact form, application form) — a more limited scope than that of the application, described above.

What data do we collect, and why?

  • Contact form — Name, email address, message. Purpose: To respond to your request.
  • Volunteer application form (page «Join us») — name, email address, area of interest, message. Purpose: to process your application.

This site does not collect no account, payment or health data. He doesn't realize no audience measurement and does not deposit no advertising or tracking cookies.

Legal basis, access and retention

This processing is based on your consent (Article 6.1.a of the GDPR), freely given when submitting a form. Only the Grand Cercle communications team has access to this data; our hosting provider (OVH) has technical access necessary for the website to function. No data is sold, rented or transmitted to any commercial third party. The data is kept for the time necessary to process your request, and for a maximum of 12 months after our last exchange.

Cookies

This site does not use any audience measurement or advertising cookies. Only technical cookies strictly necessary for the operation of the site may be placed — none of which require your consent as defined by CNIL regulations on cookies.

Integrated third-party content

The "CVA & Partners" and "Clubs & Associations" pages display data from the Grand Cercle application (app.grandcercle.org, hosted by Firebase/Google Cloud). This data is governed by the application privacy policy above.

Security

This site is accessible exclusively via HTTPS. Access to its administration is restricted and protected by technical security measures designed to limit the risk of intrusion.

Your rights

In accordance with the GDPR, you have the right to access, rectify, erase, restrict processing of, object to processing of, and transfer your data. To exercise these rights: webmaster@grandcercle.org (Response within one month). A complaint can be filed with the CNIL. No DPO has been formally appointed to date; the above address serves as the point of contact.
